Alumni Association Bylaws



 

 

Article I

The La Porte ISD Alumni Association, an organization established within the administration of the La Porte Education Foundation (LPEF) shall be located at 301 East Fairmont Parkway, La Porte, TX 77571. The Association is a non-profit organization whose members shall be dedicated to foster good fellowship and loyalty among former students and friends, to encourage the educational ideals for which the District administers and to promote the general interest of La Porte ISD.

 

Article II

Its Executive Board shall manage the affairs of the Alumni Association (hereinafter referred to as the Board). The members of the Board shall serve their respective positions until a successor is elected and qualified at the election unless they sooner resign. The then current Board at the annual election meeting at which a quorum is present shall elect the Board for each ensuing year. The new board members shall take office at the beginning of the next school year. In addition to the regular Board members, there shall be "ex officio" members of the Board with the rights to attend meetings, receive notice thereof, and have all privileges of regular Board members except for voting rights. Those members shall consist of: LPHS Principal, VP Development/Campaigns of the LPEF, and a representative of the Communications Department of LPISD.

 

Article III

The membership of the Alumni Association shall include any person that graduated from La Porte High School since its founding. It shall also include any person or entity that displays evidence of genuine interest in the overall welfare of the school district. Active members shall have the right to attend any Association meeting and have a voice in the activities of the Association. Dues for an annual active membership shall be set at $10 for Regular and Associate memberships and $100 for Life memberships. Corporate membership dues have yet to be determined by the Board. The fees shall be reviewed and set by the Executive Board at the end of each year. All monies raised by the Alumni Association shall be donated to the Education Foundation to be dispersed as requested by the Board members. Prior to this dispersal of funds an amount, to be determined by the Executive Board, shall be retained to defer expenses incurred during regular operations.

 

The Association shall organize to meet the weekends of Homecoming and during the Musical to discuss general business and to plan additional events and activities. It shall also meet late in the Spring to form Committees and hold elections. The meetings will take place at a predetermined site and be advertised well in advance of the date and location. The Executive Board shall convene each month to carry on general business throughout the year.

 

Article IV

Executive Board of the Association and their duties shall include:

 

President – oversees the routine operations of the Association and its officers, ensures that all events proceed as planned, establishes proper procedures for meetings, initiates all assignment duties to Committee chairpersons and attends all Board meetings of the LPEF as liaison. Corresponds with VP on all transactions.

Vice-President – assists the President and oversees the operation of the Committees, enforces the protocols of meeting procedures, serves a dual role of duty assignment to Committees and will assume the role of President should the office of President be vacated. Corresponds with President on all transactions.

Secretary – records and distributes the minutes of all meetings, ensures that all correspondence is channeled to the proper location and shall conduct all publicity for any Alumni Association event. Reports all actions to either President or VP. Shall be liaison for the Social/Activity and Publicity Committees.

Treasurer – conducts all budgetary or financial duties as assigned by the Executive Board. The Board and the Treasurer of the LPEF shall review the financial records of the Association on a quarterly basis. The Board may require the Treasurer to provide bond for the faithful discharge of his or her duties in such sum and with such surety or sureties, as they shall determine. All Association checks must be signed by the Treasurer and either the President or Vice President. All transactions must be reported to the Board prior to the administering of funds. Shall be liaison for the FundRaiser and Corporate Sponsor Committees.

Publicist – obtains information that will be published in the Alumni Newsletter, distributes announcement mailings and provides the newspaper with the required facts for print. Reports all correspondence the Secretary. Shall be chairperson for Publicity committee.

Historian – maintains database of membership, solicits information from past members for publications, assists in the publishing of articles for news print and serves as contact for upcoming Class reunion information requests. Reports findings to the President and Vice President. Serves as liaison to the Membership and Reunion Committees.

Webmaster – creates the web pages for the Association and the Reunion Committee to display upcoming events, articles of interest, upgrading membership database and general posting of information. Reports all entries to President and Vice President. Shall work cooperatively with the Publicity Committee to disperse information.

All Board members must be active members of the Alumni Association in good standing. The length of term of office is one calendar year. Board members may serve an unlimited amount of terms and may resign at any time. Any officer that fails to attend at least one third of the scheduled meetings shall be considered as having resigned their office without giving notice. A letter shall be sent to such officer notifying him/her of his/her removal. Such office shall be deemed vacant and the Executive Board shall appoint another member of the Association as replacement until the next elections are held. Appointments and removals shall occur during the regularly scheduled Board meetings that convene on a monthly basis. With due notice, special meetings may be called for emergency issues. It is the responsibility for all Board members to contact the President or Vice President within a minimum of 24 hours, via telephone or email, if they are unable to attend a regularly scheduled meeting. Removals or appointments must require a majority vote if a quorum is present.

 

Article V

The Alumni Association Committees and their duties include:

 

Publicity / Current Events – handle all publications and distribution of mailings to members and local media. Solicit information from former students and public. Canvas staff members / Departments for articles. Write articles for web or newspaper postings. Cooperate with web publishing committee to post information.

Membership – shall maintain accurate records of membership, enter data in database, recruit active members, create a published directory and assist in the online display of the membership.

Social/Activity – coordinates and plans all events and activities.

Funding – coordinates and plans the fundraising activities and ideas, attempts to devise a revolving plan to establish ongoing fundraiser events and will coordinate with businesses to assist in fundraising.

Corporate Sponsorship – shall be charged with the duty of gaining corporate sponsors via the Alumni membership.

Reunion – shall be given the duties to contact members of the upcoming reunion years to solicit information about their reunion, route information to web publisher, ensure that all correspondence concerning reunions is sent to the proper class officer and assist in any way with each class reunion postings.

Membership in each Committee shall be on a volunteer basis and any number of members may serve on a given Committee. The only elected member of the Committee is the chairperson. The chairperson of all Committees shall attend all scheduled Board meetings as a non-voting participant.

 

Article VI

The Alumni Association shall operate on a fiscal year that commences on August 1 and ends on July 31 of each year.
